Start with accurate load details
The transport provider needs to know exactly what is being moved. This includes the make and model where available, operating weight, overall dimensions, attachment details, and whether any components can be removed or folded for transport. Approximate descriptions can lead to the wrong vehicle being allocated.
Attachments should be included in the planning, even when they appear small compared with the main machine. Buckets, grabs, forks, mulchers, and other items still need to be secured and may affect deck space or total load weight.
Photos can be useful when the load is unusual or when access is difficult. They do not replace accurate specifications, but they can help the carrier understand the machine, loading position, and surrounding area before arrival.
Confirm the collection and delivery access
Access at both ends is just as important as the load itself. A transport truck needs enough room to enter, position, load or unload, and leave safely. Tight gates, steep driveways, low branches, overhead services, soft ground, parked vehicles, and limited turning space can all change the plan.

Confirm who will be available to load and unload the machine, and whether the equipment is operational. A non-running machine may need a different loading method and additional preparation. The carrier also needs to know if attachments will be fitted, carried separately, or collected from another location.
The loading area should be firm, reasonably level, and clear of unnecessary people and vehicles. Weather and ground conditions may also affect whether the truck can safely access the chosen point.

Provide realistic collection and delivery windows rather than relying on a single exact minute. This gives the transport team room to account for loading time, site access, traffic, and other project conditions while still meeting the agreed schedule.
